Rosters + Positive Attendance Reporting Memo

Dear Colleague,

You are teaching a class that requires positive attendance accounting and reporting. Follow these simple steps to comply with California Title V and Cerritos Community College District policies concerning this type of class:

  1. Keep a written log of your students' attendance hours for the class. The exact format of the written log is up to you, but it should contain the specific class meeting dates and the amount of hours the student earned for each meeting date.
  2. At the end of the term, total up the number of hours for each student. Remember that, in general, the number of hours for each student can't exceed the indicated maximum number of hours. There is one exception: for Open Entry/Open Exit courses, student may earn up to twice the indicated maximum number of hours. (If you are unsure whether you are teaching an Open Entry/Open Exit course, please contact the Academic Affairs Office.)
  3. When you are ready to submit final grades, you'll also be asked to submit positive attendance hours. Enter the total actual attendance hours for the semester earned by each student at this time, include any hours earned by students who may have dropped prior to the end of the term. By inputting positive attendance hours, you are certifying that the hours are a true and accurate accounting of actual attendance.
  4. Before submitting final grades and hours, please double-check your reporting for omitted or mis-keyed information. For example, you might have incorrectly given someone a passing letter grade but no hours of attendance; that is not accurate.
  5. After submitting the grades and hours, please send Admissions and Records your signed and dated, attendance log via email, U.S. mail, intercampus mail, or in person.
